Information for Vendors: Barracks Row Fall Festival on Capitol Hill – Saturday Sept 24, 2011
Barracks Row Main Street’s annual street festival, Barracks Row Fall Festival on Capitol Hill includes a military chefs cook off competition, a performance by the Silent Drill Platoon, a car show, a generous area for children’s activities, routines by the Redskins Cheerleaders, and music all day long at our large, centrally located stage. The Fall Festival will take place in the 500 to 700 blocks of 8th Street, SE on Saturday September 24, 2011. Barracks Row Fall Festival opens to the public at 11 am and closes at 5 pm.
Last year the festival attracted 7000 people throughout the day and quite a bit of media attention. Photographs of 2010 festival are on the Barracks Row website. If you want to have a booth at Barracks Row Fall Festival this year please read through this application, fill out the appropriate sections, and return with any collateral materials to Barracks Row Main Street with payment by August 1, 2011. Vending and car display spaces are limited – early registration is encouraged!
General Information:
Date and Time: Saturday September 24, 2011
Set up Time for vendors: 8:30 a.m. to 10:30 a.m. After 10:30 a.m. no cars are allowed on 8th Street; the area is walk-in only.
Break Down: 5:00 to 6:00 p.m. - early breakdown not allowed
Location: 8th St. SE between E and I Streets (500 to 700 blocks of 8th St. SE)
Cancellation Policy: Barracks Row Main Street (BRMS) reserves the right at its sole discretion, to cancel the festival due to inclement weather or any other unforeseen disaster which may occur at any time prior to or during the event. BRMS shall not be held liable for damages, claims, expenses or losses incurred from cancellations. Under no circumstances shall there be booth refunds made due to cancellation for any reason after September 9, 2011 or cancellation due to weather on or before September 24, 2011.
Vendor Classification:
1. Political: These booths are dedicated to political parties or candidates seeking office.
2. Food Vendor: sells or makes commercial foods and beverages. To be a food vendor at Barracks Row Fall Festival on Capitol Hill we must see a copy of a valid DC certificate of operation or permit and a certificate of insurance showing coverage Barracks Row Fall Festival. A description of food is required in the application. (Even returning Food Vendors must attach C of O or Permit and insurance documentation)
3. Merchant: A for-profit business that sells wares or services at the festival site. A description of the items to be sold is required in the application. ( Nothing required if you are a returning Merchant)
4. Arts Vendor: sells artistic creations which they have made. Photos, slides or examples of work are required with application. ( nothing required if you are a returning Arts Vendor)
5. Nonprofit Community Organization: If you are a new vendor at the festival a copy of your 501 (c) (3) letter of determination must be attached with the application. We have copies on file of 501(c) (3) for organizations returning from last year.
6. Barracks Row/ 8th St. Business: A local business or organization along 8th Street SE selling their wares or services at a booth on the festival site.
7. Display Cars: We supply a space and ½ per car to car companies or car clubs whose cars meet the festival requirements. Space is extremely limited.
Fees and Payment: Booth space is sold at different rates for different types of businesses and organizations:
1. Political - $330
2. Food Vendor - $330
3. Merchant Vendor (reselling merchandise or services) - $165
4. Arts Vendor - $110
5. Non Profit Organizations - $110
6. Barracks Row/8th Street Businesses - No Charge
7. Display Cars - No Charge
Please provide full payment online or by a check, cashier’s check, or money order for each booth. No cash is accepted. A fee of $25.00 will be charged for returned checks. Checks should be made payable to Barracks Row Main Street and sent with application and any collateral material to BRMS, 731 8th Street S.E., Washington DC 20003.
Booth applications must be accompanied by payment in full by August 1. 2011. A late fee of $20 may be applied to submissions received after August 1.
Once you have completed your payment, you will be directed to the short online registration form for festival vendors.
Booth Description and Table/Chair Rental: In exchange for the booth fee Barracks Row Main Street will provide a 10 X 10 foot space at the festival site. The basic booth fee is for this space only. Booth occupants must provide all other materials such as tables, chairs and table cloths. For vendors who do not have tables and chairs Barracks Row Main Street will have tables (8 ft. X 30 inch) and two chairs available (as a set) at an additional fee of $100 for those who reserve a set in their application. Payment can be submitted online or by check, cashier's check or money order.
Vendor assumes full responsibility for the safe return of the table and 2 chairs. In the event of loss or damage the vendor will reimburse BRMS $100 per table and $25.00 per chair.
Tents: If a vendor wishes to rent a tent, Barracks Row Main Street has arranged with Frager’s Just Ask Rental located 3 blocks from 8th street at 1107 Pennsylvania Ave. SE for the Barracks Row Fall Festival Special Rate. Call 202 543- 0100 begin_of_the_skype_highlighting 202 543- 0100 end_of_the_skype_highlighting to reserve your tent (while supplies last). Barracks Row Main Street does not supply tents to festival participants.
Booth Use: Booth rentals are not transferable. Booth approval is valid only for the sale of goods or exhibition of materials described in this application. Any electric generator must be quiet to not distract from stage performances or the other vendors, restaurants or retailers. The Festival Director will determine if any electric generator is too noisy and may order its removal from festival area. No loud speakers, boom boxes or portable bullhorns are allowed. To amend the approved booth use, submit a written description of the new use to Sharon Bosworth at the above address by September 22, 2011.
Booth Assignment Policy: Booth types will be grouped at the discretion of the Barracks Row Promotions Committee to create maximum pedestrian flow, promote maximum vendor exposure and maintain visibility and access to the businesses located in 8th Street buildings.
If your vendor category is over subscribed - for instance, we find we have a full quota of T- shirt booths - or if your booth does not meet selection criteria your application and check will be returned to you immediately after that determination is made.
If you want your booth located at a certain spot at the Barracks Row Festival, please make that request in the Notes section of the application. We will attempt to accommodate location requests wherever possible in the order the applications are received. Only applications received by Aug. 1, 2011 can be given placement consideration.
